The Role

As the Human Resources & Payroll Coordinator, you will wear many hats keeping our team on track with respect to payroll, recruiting, human resources and administration of employee benefits. But you will also have the opportunity to work on a few projects of your own. This is a term position until March 31, 2019.

Key Responsibilities:

  • Payroll
    • Enter new hires, terminations, employee changes, and deductions in the Ceridian payroll system for hourly and salaried employees
    • Identify and resolve arising from review and processing of payroll (semi-monthly) in a timely
    • Prepare and enter all payroll related journal entries including salary allocations
    • Manage all T4 reporting requirements
    • Maintain detailed records of payroll functions for audit purposes
    • Assisting employees in payroll related questions
  • Recruiting
    • Responsible for overall recruitment process from job descriptions, job postings, screening candidates, participating in interviews, checking references
    • Preparing offer letters for successful candidates
    • Onboarding all new employees

  • Administrator of Employee Benefits
    • Plan administrator for  onboarding and off boarding employee benefits and RRSP

  • Time Management
    • Oversee the vacation tracking system and ensure that vacation balances are recorded in accordance to corporate policy
    • Prepare and enter monthly vacation accrual
    • Oversee flex, lieu and sick days system and manage policy

  • Performance Management
    • Manage overall staff performance evaluation system and provide guidance to CED staff on associated procedures

  • Policy and Procedures
    • Maintain, create and update Human Resource and Health and Safety policy and procedures and have employees sign off annually
    • Update and communicate policies as required

  • Administration
    • Provide initial point of contact for CED staff on any HR related issues they may have
    • System administrator for employee recognition program
    • Coordinate staff surveys
    • Support to CFO and VP of Operations as required

Education:

  • Bachelor’s degree in Human Resources or Business Administration

Education:

  • Minimum of 3 year of experience working in a Payroll or Human Resource position
  • Experience implementing new payroll processes or payroll efficiencies is an asset
  • Experience with Health & Safety programs is an asset
  • Experience with privacy policies is an asset
  • Experience with computer applications such as Ceridian, Bamboo, Halogen, Quickbooks and Kudos is an asset

Note: An equivalent combination of education and experience may be considered.

  • Demonstrates the utmost professionalism in dealing with confidential matters
  • Sound relationship building skills and demonstrated ability to work cooperatively with peers, other departments, and stakeholder group
  • Exceptionally strong written, oral communication, proofreading skills and numerical ability
  • Extensive understanding of Human Resources and Payroll principals
  • High level technical knowledge with Windows XP, MS Word, Excel and PowerPoint
  • Knowledge of accounting accrual principles and Journal Entries

 On-the-job Orientation: 

3 months

Unique Working Conditions:

As we all know, HR doesn’t always happen between 9 and 5. This position may require long and/or irregular hours including attendance at a number of businesses functions and special events.  The successful candidate works effectively within a team environment and maintains composure when under pressure.  The successful candidate must be able to balance and prioritize demands for information from a variety of sources, both internal and external, and deal effectively with politically sensitive as well as confidential information.
